Pro Elite Ventures UK Ltd is a property operations company registered in England and Wales (Companies House No. 14694836). Our registered office is at 9558, 321–323 High Road, Chadwell Heath, Essex RM6 6AX. We are the data controller for personal data collected through this website and in the course of our business.

2. Data we collect and why

• Enquiry form submissions: your name, email address, phone number, company name, service required and postcode — to respond to your enquiry. Lawful basis: legitimate interests (responding to a business enquiry).
• WhatsApp messages: contact details and message content you send to our WhatsApp business number — to respond to your enquiry and manage bookings. Lawful basis: legitimate interests.
• Email correspondence: retained for the duration of our relationship plus 6 years for legal compliance purposes. Lawful basis: legal obligation.
• Property access information: addresses, access codes and lockbox details provided for the purpose of service delivery. Lawful basis: performance of a contract. Retained for the duration of the contract plus 12 months.
• Photographic documentation: timestamped photos of property condition taken as part of end-of-tenancy cleans and inspections. Retained for 12 months then securely deleted. Lawful basis: performance of a contract and legitimate interests (deposit scheme compliance).
• Website analytics (Google Analytics 4): anonymised usage data including pages visited, session duration, browser type and approximate location. No personally identifiable information is collected. Lawful basis: your consent (cookie banner).

3. How we share your data

We do not sell personal data. We share data only where necessary:

• Gleamology Ltd — our operations sub-contractor. They receive only the property address, access arrangements and service specification required to deliver the booked service. They are bound by confidentiality obligations.
• Formsubmit.co — processes enquiry form submissions on our behalf and forwards them to our email address. No data is stored by Formsubmit beyond immediate transmission.
• Google Analytics — receives anonymised website usage data when you consent to analytics cookies.
• Legal or regulatory authorities — where we are required to disclose information by law.

4. Your rights

Under UK GDPR you have the right to:

• Access the personal data we hold about you
• Correct inaccurate data
• Request erasure of your data (where no legal obligation requires retention)
• Restrict or object to processing
• Data portability
• Withdraw consent at any time (for analytics cookies)

• Contract and correspondence data: duration of contract plus 6 years
• Property photographic documentation: 12 months from date of service
• Access and security information: duration of contract plus 1 month
