Part A — The Submission Letter

To the Adjudicator,
Scheme name · Reference: Claim reference number

Property: Full property address including postcode
Tenancy period: Start date to End date (X months)
Deposit held: £Amount  ·  Amount in dispute: £Amount

We are the landlord / letting agent for the above property. We are submitting evidence in support of a deduction of £Total claimed from the deposit for the following reasons: brief one-line summary, e.g. "damage to carpet in living room, excessive cleaning required throughout".

The tenancy inventory was compiled on date and signed by the tenant on date. A check-out inspection was conducted on date by name/company. Photographs were taken at both check-in and check-out and are submitted with this document.

We draw your attention to the following items, each evidenced by dated photographs attached:

Item 1 — e.g. "Carpet — living room: The check-in inventory recorded the carpet as clean with minor wear to the threshold. At check-out a red wine stain of approximately 20cm diameter was present in the centre of the room. This is not consistent with fair wear and tear for a tenancy of [X] months. Replacement quote from [contractor] dated [date] is attached. Pro-rata claim applied per scheme guidance: £[amount]."

Item 2 — repeat structure above

Item 3 — repeat as required

The property was not returned in a clean condition comparable to that at check-in. Describe specific rooms and items — e.g. "The kitchen oven contained significant grease deposits. The bathroom grouting showed mould consistent with a failure to ventilate." A professional end-of-tenancy clean was commissioned from cleaning company name at a cost of £amount. Invoice attached.

The total amount claimed is £total as itemised in the attached cost breakdown. We believe these deductions are fair, proportionate, and supported by the photographic and documentary evidence provided. We are content for the adjudicator to determine the final amount on the evidence submitted.

Yours faithfully,

TDS tip: TDS adjudicators specifically note that submissions with a clear per-item breakdown, pro-rata calculation applied, and a photograph reference per line are processed faster and have higher award rates than narrative-only submissions.

Part B — Cost Breakdown Table

Complete one row per item claimed. Attach this table as a separate page to your submission letter. Adjudicators reference this table when making their award — ensure every figure is evidenced by a quote or receipt.
